BOOKING PROCESS & CANCELLATION CHARGES

Bookings by credit Card

The booking for AVII consists of two parts – your ticket and your accommodation.  These will be charged for separately:

  • First, AVII, the event organisers will debit your card for the full amount of ticket costs payable
  • Then, a swipe of the card details will be taken by the Thistle London Heathrow Hotel to confirm your accommodation booking
  • Note: No monies are deducted from your account until Checkout or cancelleation, as detailed below.
  • Full payment of your accommodation bill will be taken upon your departure at the end of the conference
  • You can, if you wish, choose to settle some or all of the final bill with cash, or cheque accompanied by the relevant guarantee card. 

Should you need to cancel your accommodation for the event, the following cancellation charges apply, and these will be taken from your credit card:

  • By 3 April 2009: No charge
  • 3 April – 15th May inclusive: Cost of 1 night’s stay.
  • 16th May onwards: Full cost of Accommodation booked.

Booking by Cheque/Postal Order

The booking for AVII also consists of two parts by this method – your ticket and your accommodation.  These will be charged for separately:

First, AVII, the event organisers, will cash your cheque/postal order for the full amount of ticket costs payable.

When you make this booking via this method, you then have two choices – pay a deposit for your accommodation, or settle the entire accommodation cost in full.

If you wish to initially just pay a deposit, this can be done by cheque/postal order made payable to THE THISTLE LONDON HEATHROW HOTEL, at a rate of £40.00 per person being booked.  Your reservation will be confirmed when the cheque/postal order has cleared. You will them need to pay the balance by cheque or postal order no later than eight weeks prior to the conference (i.e., by 3 April 2009).

Alternatively, you may settle the entire amount on one cheque/postal order when you book. The first £40.00 per person deposit is non-refundable, the rest of the amount is subject to the cancellation charges as listed above for those paying by credit card.

All bookings received by cheque/postal order from 3 April 2009 onwards must be for the full accommodation amount, made payable to THE THISTLE LONDON HEATHROW HOTEL.
